RESPONSIBILITIES AND MEANS
The Director of Finance and Administration shall perform his functions within the framework defined by the norms of the chain and of the Serviced Apartment and by internal regulations. He shall have 3 services under him or her.
- General Account
• Payroll and administration
• Cost account
• General cashier
• Account payable
• Store receiving
• Internal control
- Credit Account
• Income Audit
• Account receivable
- Purchasing Account
- May award and impose sections but may not dismiss an employee without the Management’s consent.
- Determines in advance the number of personnel to be employed during each season.

Reconcile computer generated subsidiary ledger balance of all receivable against general ledger balances.

Ensure that all documents necessary for billing are complete and forwarded by the Front Office Cashier intact the following day.

Reconcile collection receipts with the General Cashier’s Report.

Post receipt of payment to city ledgers.

Process and monitor credit card billings to and collections from the credit card companies.

Send official receipt to customers. (this task may be assigned to the accounting staff)

Check employee ledger for immediate salary deduction.

Process travel agencies’ commissions.

Assist the Credit Manager in the collection of accounts directly from the debtors.

Prepare summary of “Charge Backs “ and returned checks.

Prepare monthly expense statement to owner and monthly billing statement to all debtors.

Prepare the necessary journal entries affecting accounts receivable.

Prepare monthly accounts statements to clients.

Send billing statements to clients (this task may be assigned to the accounting staff).

File sales contracts by category and customer’s names alphabetically.

Prepare the monthly aging schedule and other reports that may be required by management.

Perform other duties that may be required from time to time.
