Human Resources
1. Responsible for work permit and visa application for non-resident associates.
2. Assist in daily operations ensuring HR systems, company policies and procedures are followed whilst maintaining a high degree of associates’ satisfaction.
3. Assist with and carry out the duties of Director of Human Resources in creating an effective and efficient operation of the department
Essential Functions
Human Resources
1. Coordinate with Oversea Trainee, Immigration and Employment Office by preparing required documents for Work Permit and Visa application.
2. Organize all Visa & Work Permit application for expatriates.
3. Compile and prepare the summary expense record of Work Permit and Visa expense to prepare yearly budget.
4. Apply knowledge of the Labor Agreement as appropriate for your establishment, contemporary human resources management principles and other relevant organizational policies.
5. Identify operational human resources requirements and report to the Department Head.
6. Have intensive knowledge on how to perform time attendance and basic knowledge to access Eagle System.
7. Utilize computer applications to perform the tasks required. Have knowledge on e-mail correspondence to other Team Member and organizations as well as outsiders.
8. Ensure that SSO reporting functions are up-to-date and in compliance with federal regulations.
9. Ensure that Group Insurance reporting functions are up-to-date.
10. Administer the time attendance system.
11. Ensure all annual and sick leave requests are processed giving accurate and timely responses to Team Member.
12. Ensure all personnel records are maintained accurately and secure.
13. Maintain close relation with all local authorities.
14. Control & manage leave applications all data concerning all Team Members.
15. Assist in developing and maintaining an appropriate skills data base.
16. Assist Department Heads in maintaining current knowledge and understanding of contemporary Human Resources issues.
17. Assist in the formulation of Human Resources/Training Strategies.
18. Liaise closely with local and federal industry bodies and training authorities.
19. Ensure the standards of “best practice” are developed and encourage line management commitment to their implementation.
20. Participate in the preparation of strategic plans.
21. Monitor information and trends in the industry.
22. Consider political and social influences on business.
23. Assist with the preparation of performance reports for the unit/outlet.
24. Implement appropriate management practices that provide hosts motivation and communication.
25. Provide one to one instruction to hosts members when required.
26. Interact with department and hotel hosts in a professional and positive manner to foster good rapport, promote team spirit and insure effective two-way communication.
27. Prepare and maintain files, reports, letters, memorandums and other relevant business documentation.
28. Ensure all reporting and servicing deadlines are met in a timely basis.
29. Handle all departmental clerical duties in a timely and efficient manner as directed.
30. Liaise with other clerical hosts and department heads to ensure information is passed on in a timely and accurate manner.
31. Distribute all mail, correspondence and memos in an accurate and timely manner.
32. Maintain and update records, and update general information board as directed.
33. Ensure that the administration office is maintained in a clean and tidy fashion.
34. Assist in the maintenance of efficient administration preparing and submitting report on time as directed.
35. Be a representative of Human Resources Department as a committee for our hotel activities
36. Perform the other duties as assigned by Director of Human Resources.
Training
1. Assist to organize reward and certification programs.
2. Keep records of each individual host on every training he/she attended of the hotel in the HR system.
3. Assist in creating competitions or projects to sharpen skills and knowledge.
4. Assist in coordinating departmental cross-training.
5. Implement training function and conduct training programs which are certified by HR & Training Manager.
6. Maintain hotel training records for legislative on a regular basis.
7. Implement tools and services to ensure training and development programs meet the hotel’s objectives.
8. Assist implementing methods for evaluating cost-effectiveness of training programs.
9. Assist in purchasing stock/inventory according to purchasing procedures and specifications.
10. Assist with the planning and delivery of Orientation Program.
11. Carry out other tasks as directed by HR & Training Manager.
Qualification Standards
Education
• Bachelor Degree or above in related field.
Experience
• Hospitality industry work experience before or Administration work experience at least 3 years or Teaching experience in school at least 1 year
Essential Job Skills
• Be able to communicate in English Language
• Good administrative skills
• High energy level with presentation skills
Desirable Job Skills
• Pleasant and helpful personality
• Proven track record in hotel of similar
standard in similar capacity
Physical Requirements
• In possession of all faculties
