Position : PROPERTY ADMIN
Job Detail
You are not just answering booking requests. You are the control centre for reservations, guest communication, and day-to-day property coordination.
If you are disorganised or slow to respond, this role will fall apart quickly. If you are structured, responsive, and precise, you become critical to the operation.
Key Responsibilities
1) Reservations & Guest Communication
- Manage all reservation enquiries across OTA platforms (e.g. Booking.com, Airbnb, Agoda) and direct channels Respond to all guest enquiries quickly, clearly, and professionally in English
- Convert enquiries into confirmed bookings through effective communication
- Handle modifications, cancellations, and special requests accurately
- Ensure all reservation data is correctly entered into the PMS
- Monitor upcoming arrivals and ensure pre-arrival communication is complete
2) Operational Coordination
- Liaise with housekeeping and maintenance teams to ensure unit readiness
- Flag issues early (maintenance, cleaning delays, guest complaints)
- Ensure guest check-ins and check-outs run smoothly
- Coordinate with ecosystem partners where required
3) Administration
- Act as the central point for property-level coordination
- Track maintenance schedules, supplier visits, and routine checks
- Maintain records of inventory, keys, access control, and building supplies
- Support invoice tracking and basic cost logging
- Ensure building standards are consistently maintained
Essential Requirements
- Experience in hospitality, hotels, or vacation rentals
- Strong written and spoken English (non-negotiable)
- Highly organised and detail-oriented
- Fast response time and ability to prioritise under pressure
- Comfortable using systems and learning new software
- Based in Phuket
Preferred Requirements
- Experience with PMS systems
- Familiarity with OTA platforms
Personal Traits
- Structured thinker – you don’t lose track of details
- Reliable – things don’t get dropped
- Calm under pressure – guests will test you
- Commercially aware – you understand that every enquiry is revenue
- No drama – this is operations, not theatre
