Job Detail
Position Overview
The Sales Coordinator provides administrative and operational support to the Sales & Marketing team to ensure smooth coordination of sales activities, client communication, and internal processes. The role assists in managing sales inquiries, preparing proposals and contracts, coordinating site inspections, and maintaining accurate records to support revenue generation for the resort.
Key Responsibilities
1. Sales Administration
- Prepare sales proposals, contracts, agreements, and other related documents.
- Maintain accurate records of bookings, leads, and client profiles in the sales system.
- Assist the sales team with reports, presentations, and sales documentation.
- Monitor incoming inquiries and ensure timely follow-up with clients.
- Maintain filing systems and database for accounts and partners.
2. Client & Partner Communication
- Serve as a point of contact for travel agents, corporate clients, and partners.
- Respond to inquiries regarding room availability, packages, and resort facilities.
- Coordinate site inspections, familiarization trips (FAM trips), and client visits.
Ensure professional and timely communication with all stakeholders.
3. Sales Coordination
- Assist Sales team with lead management and follow-up on quotations.
- Coordinate with internal departments such as Front Office, Reservations, F&B, and Operations to ensure smooth service delivery.
- Support the preparation of Banquet Event Orders (BEOs) and group booking arrangements.
4. Reporting & Data Management
- Prepare weekly and monthly sales reports and performance updates.
- Maintain and update CRM or sales systems with accurate client information.
- Track sales activities, booking pace, and business opportunities for management review.
5. Marketing & Promotional Support
- Assist with sales campaigns, promotions, and marketing initiatives.
- Coordinate materials such as brochures, presentations, and promotional collateral.
- Support trade shows, roadshows, and sales events when required.
Qualifications
- Diploma or Bachelor’s degree in Hospitality Management, Business Administration, or related field.
- Minimum 1–2 years experience in hotel sales, reservations, or hospitality operations.
- Strong communication skills in English (spoken and written).
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Knowledge of hotel systems Opera
- Excellent organizational skills and attention to detail.
Ability to work in a fast-paced environment and manage multiple tasks.
