Position Summary
The Administrative Kitchen Coordinator is responsible for managing all administrative and coordination tasks within the kitchen department. This role ensures smooth communication between the kitchen, purchasing, receiving, stores, finance, and F&B service teams. The position supports the Executive Chef and Sous Chefs by handling documentation, cost control tracking, reporting, scheduling coordination, and compliance administration, allowing culinary leadership to focus on food quality, operations, and team performance.

Key Responsibilities
1. Administrative Support
• Prepare and maintain kitchen documentation and reports
• Manage Wine Pro admin and inventory transfers.
• Input Recipe into Commanche Database.
• Manage correspondence (internal and external) related to kitchen operations
• Maintain organized filing systems (digital and hard copy)
• Schedule kitchen training sessions

2. Purchasing & Cost Control Coordination
• Prepare and process Purchase Requisitions for each kitchen, ready for Chef Nick or Ko to approve.
• Coordinate with Purchasing Department and suppliers
• Track order status and follow-up on delayed deliveries
• Monitor daily market lists and supplier pricing updates
• Assist in monthly food cost reporting
• Maintain recipe costing documentation
• Support daily and weekly stock count and inventory reporting

3. Inventory & Store Coordination
• Coordinate monthly stock takes together with accounting
• Maintain par level documentation
• Track wastage reports and breakage records
• Monitor expiry dates and food safety documentation

4. HR & Staffing Administration
• Maintain kitchen staff attendance records
• Assist with leave tracking and scheduling coordination
• Support onboarding documentation for new hires
• Maintain training records and certification files (food safety, hygiene, etc.)

5. Compliance & Food Safety Documentation
• Ensure temperature logs are completed and filed
• Maintain cleaning schedules and verification checklists

6. Interdepartmental Coordination
• Liaise between Kitchen and:
o F&B Service
o Purchasing
o Finance
o HR
o Engineering (for maintenance requests)
• Track maintenance issues and follow up on repair status

Qualifications & Requirements
• Minimum 2 years’ experience in F&B administration or kitchen office role
• Strong knowledge of food cost control principles
• Experience in resort or high-volume restaurant environment preferred
• Proficient in Microsoft Office (Excel, Word, Outlook)
• Experience with POS and inventory systems is an advantage
• Strong organizational and multitasking skills
• High attention to detail
• Native Thai Speaker with good communication skills in English
