Railand Project Co., Ltd. is seeking a detail-oriented and reliable HR & Administration Specialist to manage day-to-day HR administration, employee documentation, visa and work permit coordination, and workforce-related support.
This role is ideal for a hands-on HR professional who is well organized, familiar with Thai labor practices, and confident in handling HR documentation and employee administration independently. The successful candidate will act as a key contact point for employees and support management in ensuring smooth HR operations across the company.

Key Responsibilities
● Maintain and update employee records, personnel files, HR trackers, and internal HR databases.
● Prepare, issue, and manage employment contracts, probation confirmation letters, employment amendments, certification letters, and other HR-related documents.
● Coordinate visa and work permit processes for foreign employees, including new applications, renewals, cancellations, 90-day reporting coordination, and related documentation.
● Administer employee leave records, attendance, public holidays, work schedules, and related attendance reports.
● Coordinate payroll-related information, including attendance records, leave balances, overtime records, deductions, allowances, and supporting documents.
● Support recruitment activities, including job posting, candidate communication, interview scheduling, document collection, and onboarding coordination.
● Coordinate onboarding, offboarding, probation reviews, and employee status updates.
● Maintain HR policies, procedures, employee handbooks, announcements, and internal documentation in line with Thai labor regulations.
● Act as the main HR contact for employees regarding employment matters, HR procedures, company policies, leave, attendance, and documentation requests.
● Prepare regular HR reports for management, including headcount, attendance, leave, probation status, visa/work permit status, and employee movement reports.
● Support management with HR administration, workforce planning, employee relations, and compliance-related matters.
● Coordinate with external parties when required, including government offices, payroll providers, visa/work permit agents, recruitment platforms, and service vendors.
● Support general administrative duties related to office operations and employee services as assigned.
Requirements
● Minimum 3-5 years of experience in HR administration, HR operations, or a related HR role.
● Proven experience handling visa and work permit processes for foreign employees in Thailand.
● Good understanding of Thai labor law, employment documentation, HR compliance, and standard HR practices.
● Experience coordinating payroll information, attendance records, leave records, and employee documentation.
● Strong organizational, filing, document management, and follow-up skills.
● Good command of spoken and written English.
● Proficient in Microsoft Office or Google Workspace, especially Excel/Sheets, Word/Docs, and email communication.
● Able to work independently, take ownership of HR processes, and maintain confidentiality.
● Detail-oriented, responsible, proactive, and able to manage multiple tasks within deadlines.
● Good communication and interpersonal skills.
Preferred Qualifications
● Experience working in a company with foreign employees or expatriate management.
● Experience liaising with Thai government offices, immigration, the labor department, or visa/work permit agencies.
● Background in real estate, property development, hospitality, or professional services is an advantage.
● Familiarity with HR systems, attendance systems, or payroll coordination tools is a plus.
