Administrative Officer (Business Support & Administration)

Job Summary

We are seeking a highly organized and detail-oriented administrative officer to support the day-to-day operations of our group of companies. The successful candidate will be responsible for corporate administration, license and compliance documentation, visa and work permit coordination, office procurement, asset management, and administrative support for the Accounts Receivable (AR) function.

This role is ideal for someone who enjoys working in a dynamic environment, managing multiple responsibilities, and ensuring smooth business operations across various departments.

Key Responsibilities

1. Administrative & Office Management

• Maintain and organize company records and documents for all group entities.
• Prepare official letters, certifications, and internal company documents.
• Coordinate with government agencies, banks, and external service providers.
• Maintain records of important corporate documents.
• Support general administrative and office operations.

2. License & Corporate Compliance Support

•⁠ ⁠Prepare and monitor documentation for business license renewals.
• Maintain corporate compliance-related records and documents.
• Coordinate with legal advisors, accounting firms, and government authorities.
• Maintain a register of license expiry dates, contracts, and important documents.

#### 3. Visa & Work Permit Administration

• Prepare and coordinate documentation for visa and work permit applications, renewals, and amendments for foreign employees.
• Monitor expiration dates and provide advance reminders.
• Liaise with visa agents and relevant government authorities.

4. Accounts Receivable (AR) Administrative Support

*Backup AR Function (when AR staff are unavailable)*

• Prepare invoices and billing documents.
• Issue receipts.
• Prepare credit notes and debit notes in accordance with company procedures.
• Record transactions in the accounting system.
• Maintain financial documents and filing systems.
• Coordinate with the Sales Department regarding payment supporting documents.

5. Accounting System Administration

• Operate the company's accounting system at an operational level.
• Support basic accounting data entry.
• Verify customer information and supporting documentation.
• Assist in preparing reports as assigned.

6. Procurement & Office Supply Management

• Manage office supply purchasing and procurement activities.
• Conduct basic supplier and price comparisons.
• Monitor office supply inventory levels.
• Purchase shared office necessities and consumables.
• Procure weekly employee snacks, beverages, and welfare items.
• Control procurement budgets as assigned.

7. Employee Asset & Requisition Management

• Manage employee office equipment request procedures.
• Review requests for necessity and budget compliance.
• Maintain records of equipment issuance and returns.
• Manage office asset and equipment registers.
• Coordinate repairs, maintenance, and replacement of office equipment.

Qualifications

• Bachelor's degree in business administration, accounting, management, or related fields.
• Minimum 1–2 years of experience in administration, office management, or business support roles.
• Experience with visa/work permit documentation will be an advantage.
• Basic understanding of accounting documents and administrative processes.
• Good organizational and communication skills.
• Proficient in Microsoft Office (Excel, Word, Outlook).
• Ability to work independently and manage multiple tasks effectively.
• Good command of English is preferred.
