Position: Front Office Manager
Location: The Bell Pool Villa Resort, Kamala, Phuket
Reports to: Resort Manager
Employment Type: Full-time
Salary: 30-40k Range

Position Overview:
We seek a dedicated and personable Front Office Manager to lead our front office operations and ensure an exceptional guest experience at our intimate boutique resort. This role involves managing the reception team, coordinating guest services, and overseeing day-to-day front desk activities to maintain the highest standards of hospitality. Additionally, the Front Office Manager will assist the Reservation Officer with managing pre-arrival communication with guests and handling day-to-day reservation amendments in the Property Management System (PMS).

Key Responsibilities:
1. Guest Experience & Service:
- Greet guests with warmth and professionalism, ensuring a smooth check-in and check-out process.
Handle guest inquiries, special requests, and complaints promptly and with care.
- Foster a welcoming atmosphere and personalize guest interactions to reflect the resort’s boutique charm.

2. Team Leadership & Training:
- Supervise, train, and motivate front office staff to deliver outstanding service.
- Schedule shifts, manage staffing needs, and oversee daily front desk operations.
- Conduct regular team meetings to share updates, gather feedback, and encourage collaboration.
Enforce rules and regulations and ensure a proper commitment to them from the team

3. Reservation & Booking Management:
- Help Reservations to oversee room reservations, availability, and pricing strategies.
- Help supervise the different booking platforms, handle cancellations or modifications, and ensure accurate records.
- Be the first referral for in-house reservation changes (extension of stays, early check-outs, etc.)
- Coordinate with housekeeping and maintenance to align room readiness with guest arrivals.

4. Communication & Coordination:
- Act as the main point of contact between departments to ensure seamless service delivery.
- Communicate guest preferences and special arrangements to relevant teams (e.g., housekeeping, kitchen).
- Manage internal logs and shift reports to ensure smooth handovers.
Be the referral person for administration to pass on information to the front office team and to the guests.

5. Administration & Reporting:
- Handle billing, invoicing, and payment processes with attention to detail.
- Monitor front office expenses and assist with budgeting.
- Prepare reports on occupancy, revenue, and guest feedback for management review.

6. Upselling
- Incentivate the sales of products and services to the guests before and during their stay.
- Ensure the whole team actively engages the guests and invites them to order products and services through us
- Find personalised solutions for guests needing products and/or activities we do not offer.

Qualifications:
- Previous experience as a Front Office Manager or Senior Receptionist in a boutique hotel or resort setting.
- Strong leadership and organizational skills.
Thai Nationality Holder
- Excellent verbal and written communication in English (additional languages are a plus).
-Proficiency in hotel management software.
-Knowledge of online booking platforms is a plus.
-Ability to handle pressure and resolve guest issues gracefully and according to the context, the situation and the guest’s status.
-A passion for hospitality and a proactive approach to guest satisfaction.
